Qr8ted Events ("we", "us", "our") is committed to protecting the privacy of our clients, prospective clients and website visitors. This Privacy Policy explains how we collect, use, store and share personal information, and how we comply with the Protection of Personal Information Act 4 of 2013 ("POPIA") and other applicable South African law.

 

1. Who we are (the Responsible Party)

2. Personal information we collect

 

We only collect personal information that is adequate, relevant and not excessive for the purposes set out in this policy. Depending on how you interact with us, this may include:

 

  • Contact and enquiry information: your first name, last name, email address, telephone number and the contents of any message you send us through the contact form on this website, or by phone, email or messaging platforms.

  • Event planning and client records: details about your event (date, venue, guest information and preferences), quotations, contracts, invoices and payment records needed to plan and deliver our services.

  • Event photographs and video: images captured at events we plan or coordinate, which may include images of identifiable persons. These are used in our portfolio and marketing only with consent.

  • Website usage information: technical information such as your IP address, browser type, device information, pages visited and interaction with our site, collected through cookies and Wix analytics tools.

 

3. Why we process your information (purpose and lawful basis)

 

We process personal information only for specific, explicitly defined purposes, and in terms of section 11 of POPIA we rely on one or more of the following lawful grounds:

 

  • Consent: where you consent to us processing your information, for example when you submit an enquiry, agree to be contacted about your event, or agree to the use of event photographs featuring you in our portfolio.

  • Contract: where processing is necessary to conclude or perform a contract with you, such as planning, coordinating and invoicing your event.

  • Legal obligation: where we must retain certain records (for example financial and tax records) to comply with law.

  • Legitimate interest: where processing is necessary for our legitimate interests, such as securing our website, understanding how it is used and improving our services, provided these do not outweigh your rights.

 

We use your personal information to:

 

1. respond to enquiries and communicate with you about your event;

2. provide, administer and improve our event planning and coordination services;

3. issue quotations and invoices and process payments;

4. maintain financial and business records as required by law;

5. publish event photographs in our portfolio or marketing materials, only with your consent;

6. operate, secure and improve this website; and

7. comply with legal and regulatory obligations.

 

4. Cookies and tracking

 

This website uses cookies and similar technologies (including Wix analytics and marketing tools) to remember your preferences, understand how the site is used and improve your experience.   • service providers engaged for your event (such as venues, caterers, decorators and hire companies) where sharing is necessary to deliver the services you requested; and

  • authorities or third parties where disclosure is required by law, court order or to protect our legal rights.

 

Where a third party processes personal information on our behalf, we take reasonable steps to ensure they treat it in line with POPIA.

 

6. Transfer of personal information outside South Africa

 

This website is hosted on the Wix.com platform, which stores and processes data on servers located outside South Africa. Where personal information is transferred outside the Republic, we take reasonable steps to ensure the recipient is subject to a law, binding corporate rules or agreement providing an adequate level of protection substantially similar to POPIA, as required by section 72 of POPIA, or that the transfer is otherwise permitted (for example, where it is necessary for the performance of our contract with you).

 

7. How long we keep your information

 

We retain personal information only for as long as necessary:

 

  • enquiries and correspondence: for as long as needed to deal with your enquiry and for a reasonable period thereafter;

  • client and event records: for the duration of our relationship and a reasonable period afterwards;

  • financial and tax records: for the period required by law (generally five years);

  • event photographs used with consent: until consent is withdrawn; and

  • website analytics data: in aggregated or anonymised form.

 

When information is no longer needed, we securely delete or de-identify it.

 

8. Security safeguards

 

In terms of sections 19 to 22 of POPIA, we take appropriate, reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised access and unlawful processing. Our website and records are maintained on the Wix.com platform, which applies industry-standard security measures including encryption in transit. We review our safeguards on an ongoing basis and will notify you and the Information Regulator of any data breach as required by law.

 

9. Your rights

 

POPIA gives you the following rights in relation to your personal information:

 

  • the right to ask whether we hold your personal information and to request access to it;

  • the right to request correction or deletion of inaccurate, irrelevant or out-of-date information;

  • the right to object to processing of your personal information on reasonable grounds;

  • the right to withdraw consent at any time (for example, consent to use event photographs or to receive marketing communications), without affecting processing that took place before withdrawal; and

  • the right to complain to the Information Regulator.

 

To exercise any of these rights, contact our Information Officer using the details in section 11. We may need to verify your identity before acting on a request.

 

10. Children

 

Our services are not directed at children under 18, and we do not knowingly collect personal information from children without the consent of a parent or guardian.
